Facility Rentals

The City of Martin Parks & Recreation Department provides these facilities for rentals.  Continual rental of these facilities depends upon your cooperation and compliance with their rules and regulations.

Insurance

Individual accident health insurance is not provided by the Martin Parks and Recreation Department. Participants are encouraged to obtain their own insurance coverage prior to and for the duration of the activity they take part in from their own insurance agent. By applying for these programs, the registrant realizes the inherent risks involved in the programs and appreciates the nature of risk and will hold Martin Parks and Recreation Department harmless for any damages caused by participation in the program.

 

Ballfield Rentals

Policies

Recreation Usage Fee

Daytime – up to 3 hours = $25.00

All Day = $50.00

Tournament Usage Fee

  1. Per Day/ Per Field = $100
  2. On-Site Supervisor = $10/hr
  3. Vendor Fee = $25
  4. Paperwork and $100 deposit per complex no later than 14 days prior to the tournament date

League Tournament Usage Fees

  1. First fund-raising type tournament for youth league – No fee
  2. Any additional fund-raising tournaments-
    • $100/per field/first day
    • $50/per field/ second or third day used
    • On-site Supervisor – $10/hr
    • Vendor Fee – $25
  3. There would not be a fee for any advancement type tournament as defined by the league’s affiliation. (Example: Cal Ripken League hosts a district tournament whereas the winner automatically advances to the area or state tournament.)
  4. If a team within a league desires to host a tournament for a fund-raiser, they must be approved by the league commissioner/president. That team would then be considered the same as the league and assessed fees accordingly.

Additional Ball Park Rental Fees and Notes

  1. All of total usage fee required as “non-refundable” deposit. Exception – Deposit refunded if tournament cancelled by Martin Parks and Recreation Department due to inclement weather or unfavorable ground conditions.
  2. Tournament usage fees include any initial field preparation (lining off, lights and restrooms).
  3. Tournament sponsor shall supply a Certificate of Insurance ($1,000,000 per occurrence minimum) naming the City of Martin as an additional insured (if available), and a supervisor is required due to liability insurance requirements. A flat rate of $10/hour will be charged per supervisor.
  4. NOTE: Supervisor’s responsibilities include: – Control of facility during inclement weather conditions – Maintenance needs such as bases, scoreboard, problems, etc. – Policing of grounds.
  5. Vendors will be assessed a $25 fee. This fee will be waived if said vendor possesses a current City of Martin business license. No form of refreshments shall be sold by any vendor.
  6. Team Coolers – In accordance to established policy set by the City of Martin Parks and Recreation Commission for the Martin Recreation Complex (MRC), only one team cooler will be allowed inside either plex. A special “tournament tag” will be issued to each team and must be attached to the cooler upon entrance to the plex. -Important: ONLY drink products will be allowed and must be for the use by the team in the dugout area. – Any other food, refreshments, etc.. in accordance to MRC policy is welcome outside the perimeter fence. – Teams are welcome to use the Martin Rotary Pavilion IF it has not already been reserved.
  7. A 10′ x 10′ tent, table and 2 chairs will be provided at each entrance per request from the tournament director.

Picnic Pavilion Rentals

Policies

  1. Without a paid rental, pavilion is available free of charge on a first-come basis.
  2. No reservation refunds are available except in extreme and unusual circumstances as determined by the Parks and Recreation Department.
  3. A reservation sign, to include your hours of rental, will be posted by Park and Recreation staff. In addition, picnic area, trash cans, restrooms, etc. will be serviced at that time.
  4. In order to help hold rental cost down, it is necessary to properly utilize all equipment and to leave pavilion relatively clean and usable for ones who may follow you.
  5. If any damages occur during your rental, additional costs will become the responsibility of the person signing the reservation form.
  6. Important: you should have your reservation receipt with you in order to show anyone at the pavilion during your specific time of reservation.
  7. Any problems encountered with others at the pavilion after showing receipt should be directed to any Park and Rec. staff if they are in the area or by calling Martin Police Department at 587-5355. Note: you can also refer to the posted “reservation” sign.
  8. It is understood that others may be in the general area utilizing the playground, walking trail, etc.
